Collection of Information and Usage of Data
When you visit or interact with PHTWW’s Services, certain information about your usage may be automatically collected. PHTWW reserves the right to track this data usage. Much of this information is collected through cookies, web beacons, and other tracking technologies, as well as through your web browser and/or device through your IP address. Certain applications of our Services may require users to register or to provide personal information. Entry of such information is optional. We use this information to better understand how our Services are used by users.
This data is compiled and analyzed on an aggregated basis to provide marketing, communications, search engine optimization services, social media targeting, and information that third parties collect, such as analytics data. If demographic information is requested or collected, we will not share information about you as an individual with any other entity.
Web based cookies used by PHTWW do not contain any personal information. Most web browsers automatically accept cookies, but you can change the preferences of your web browser to prevent accepting or to block them. If you opt to block cookies, you may not be able to use certain site features or functions of our Services. Cookies are used at PHTWW for performance, social media, and advertising purposes.
Data retention
PHTWW retains personal information only as long as necessary to fulfill the purposes for which it was collected, to meet our current and future legal requirements, and to support our business operations.
Data security
PHTWW is committed to protecting the security of the personal information we collect and maintain. We implement a variety of administrative, technical, and physical security measures designed to protect against unauthorized access, modification, alteration, unintended or inappropriate disclosure, or destruction of personal information. Our security practices include, but are not limited to, encryption of data in transit and at rest, secure access controls, regular cybersecurity training for our staff, and the use of reputable third-party services with strong security policies and controls to adapt to new threats and compliance requirements as stipulated by federal and Washington state laws.
In the event of a data breach, we are prepared to take immediate action in accordance with applicable legal requirements, including notifying affected individuals and relevant authorities when necessary. Our goal is to ensure the confidentiality, integrity, and availability of all personal data we hold, and to instill confidence in our patrons and partners that their data is treated with the utmost care and security and that it has not been altered or destroyed in an unauthorized manner.
Email Content and Marketing Communication
If you choose to provide us with personal information (i.e. name, email address, mailing address, and/or telephone number), or have done so in the past, via our website, our publications, mailings, in conversation with our team, or from one of our Services, we may use that contact information to send you updates and communication from PHTWW. As a service, PHTWW offers visitors the opportunity to subscribe to the theatre’s email distribution list and e-newsletters to stay up-to-date on the latest events and ticket information. We only send communications if we believe you may have a genuine interest in receiving them and you can always opt out of receiving these communications.
Email addresses are never sold to third parties. Occasionally, we may share data in relation to the applicable event(s) hosted at the theater when an organization rents the theater, upon request. The information shared may include customer names, email addresses, zip codes, and in some instances, phone numbers.
Third-Party Vendors
We use data processors who are third-party vendors that provide elements of services for our business operations. Entities to whom we disclose information for business purposes are service providers, which are companies that we engage to conduct activities on our behalf. We restrict service providers from using personal information for any purpose that is not related to our engagement. These vendors perform functions on our behalf such as: website, software, and data hosting or storage; content management; database management; technical integration; web analytics and site optimization; posting and accepting job applications; and payment processing.
We have contracts in place with these third-party vendors, which means they cannot do anything with your personal information unless they have been instructed by PHTWW to do so, except where noted below. We may transfer to another entity, service provider, or its affiliates or service providers some or all information about you in connection with, or during negotiations of, any merger, acquisition, sale of assets or any line of business, change in ownership control, or financing transaction. We cannot promise that an acquiring party or the merged entity will have the same privacy practices or treat your information the same as described in this Policy. Additionally, we cannot remove you from any third-party list; you will have to contact them directly.
PHTWW is not responsible for the privacy practices of these third parties, and the information practices of these third parties are not covered by this Privacy Policy.
Spektrix is our third-party ticketing software vendor. Dotdigital is a third-party vendor of Spektrix where integrated emails are created and sent. Patrons’ email addresses are pulled from Spektrix to generate the lists for Dotdigital. Every email we send has the option to unsubscribe.
Spektrix will not share your personal information with any organization apart from PHTWW and Dotdigital. Spektrix will hold this information securely and retain it for the time period we instruct. Information shared with Dotdigital is based on our agreement with Spektrix. When you create an online account with PHTWW, you are asked about your communication preferences. You can update your communication preferences, opt out, or terminate your Spektrix account at any time. Further information regarding Spektrix’s privacy policy may be found here.
Data Sharing
We do not sell, exchange, share, or rent any lists to anyone outside the organization. Additionally, credit card information is confidential and not disclosed to any third parties, except as necessary for payment processing performed by third parties as contemplated in the Third-Party Vendors section of this Privacy Policy.
Your Data Rights
PHTWW recognizes and upholds the rights of our patrons and website visitors concerning your personal data. As a data subject, you have the right to access your personal information, request corrections to any inaccuracies, request deletion of your data where it is no longer necessary for us to retain, and object to certain types of processing. You also have the right to request restrictions on how we use your information and to obtain a copy of your personal data.
If an “opt-out” option is not offered, or if you decide after providing this information that you do not want us to share your information with any other organization, you may also notify us in an email addressed to info@phtww.org and we will promptly remove you from all correspondence.
To exercise any of these rights, for any questions about this privacy policy, the practices or dealings with our Services, you can contact us at info@phtww.org with a detailed request. We are committed to responding to your inquiries and requests within 30 days of receipt, in accordance with Washington state law and applicable federal regulations.
